Privacy Policy
Version 1.0. Last updated 8 October 2026.
This policy explains what personal data GarageWise collects, why, who we share it with and what rights you have.
1. Who we are
GarageWise Ltd (company number 16848711), Trade Fair House, 2 Enterprise Road, Maidstone, Kent, ME15 6JD, is the data controller for the personal data described in this policy. We are registered with the Information Commissioner's Office, registration reference ZC135656. For anything to do with privacy, email support@garagewise.co.
2. Your customers' data
Garages use GarageWise to store details of their own customers and their vehicles. For that data the garage is the controller and we are its processor. We only handle it to run GarageWise for the garage, as set out in our Terms of Service. If you're a garage's customer and want to know what they hold about you, please contact the garage directly.
3. What we collect
- Account details: your name, business name, email address, phone number and password (stored encrypted).
- Billing details: handled by Stripe. We see the card type, last four digits and expiry date, never the full card number.
- How you use GarageWise: pages visited, vehicle registrations and data you look up, searches, login times, IP address, browser and device.
- Messages: emails and support requests you send us, and records of emails and texts sent through GarageWise.
- Marketing and website data: how you found us (such as the advert or campaign you clicked) and how you use our website, collected with cookies (see section 7).
4. Why we use it
- To provide GarageWise and your account, look up vehicle and technical data, send reminders and handle billing. Lawful basis: performing our contract with you.
- To support you and send service emails, such as trial reminders, receipts and important changes. Lawful basis: contract and our legitimate interests.
- To keep GarageWise secure, prevent fraud and login sharing, and fix problems. Lawful basis: legitimate interests.
- To improve the product by understanding which features are used. Lawful basis: legitimate interests.
- To send marketing emails about GarageWise. Lawful basis: legitimate interests for business customers, and you can unsubscribe at any time using the link in every email.
- To meet legal obligations, such as keeping accounting records. Lawful basis: legal obligation.
We don't sell personal data.
5. Who we share it with
We use trusted suppliers to run GarageWise. They only process personal data on our instructions.
- DigitalOcean: hosting. Our servers and database are in London.
- Stripe: subscription payments.
- HaynesPro: technical repair data. We send vehicle identifiers, not your customers' personal details.
- DVLA and DVSA: vehicle and MOT details, looked up by registration.
- Twilio: SMS reminders and messaging.
- Our email delivery provider: sending service and reminder emails.
- Klaviyo: marketing and trial emails.
- Xero: only if you connect your own Xero account, to send your invoices there.
- Anthropic and OpenAI: AI features such as search and the assistant. We send the text needed to answer the request.
- Laravel Nightwatch: error and performance monitoring.
- Google and Meta: website analytics and measuring our adverts (see section 7).
If you signed up through one of our resellers, they can see your business name, contact details and subscription status so they can support you. We may also share data if the law requires it, or with a buyer if GarageWise is ever sold.
Some of these suppliers are based outside the UK, mainly in the US. Where data leaves the UK we rely on UK adequacy regulations or the UK International Data Transfer Agreement or Addendum to protect it.
6. How long we keep it
- Account data: while your account is open, and for up to 12 months after it closes or a trial ends, in case you come back. Then we delete it.
- Billing and accounting records: 6 years, as UK law requires.
- Logs and usage data: up to 12 months.
- Marketing contacts: until you unsubscribe, or after 2 years without any engagement.
7. Cookies
We use cookies that are needed to log you in and keep GarageWise secure. On our website we also use analytics and advertising cookies from Google (Analytics and Ads) and Meta to understand how people find and use the site and to measure our adverts. You can block or delete cookies in your browser settings. Blocking the essential ones will stop you logging in.
8. Keeping it secure
Data is encrypted in transit, passwords are hashed, access to our systems is limited to people who need it, and accounts are separated so one garage can't see another's data.
9. Your rights
Under UK data protection law you can ask us to:
- give you a copy of your personal data;
- correct anything that's wrong;
- delete your data;
- restrict or object to how we use it, including for marketing;
- send your data to you or another provider in a usable format.
Email support@garagewise.co and we'll respond within one month. If you're unhappy with how we've handled your data you can complain to the Information Commissioner's Office at ico.org.uk, but we'd appreciate the chance to put it right first.
10. Changes
We may update this policy. The version and date at the top show which one is current, and we'll email account owners about significant changes.
